Privacy Policy

This privacy policy provides information about how we St David’s Poultry Team Ltd, a company registered in England and Wales under number 05994730, whose registered office is at 4 King Square, Bridgwater, Somerset, TA6 3YF (“the Company”)  will use or process personal data about individuals, our staff and our clients.

This information is provided because Data Protection Law gives individuals rights to understand how their date is used under the General Data Protection Regulation (GDPR) due to come into effect on the 25th May 2018.

St David’s Poultry Team Ltd has appointed Kayleigh Walters as our Data Protection Officer who will deal with your request and enquiries concerning our use of your personal date and endeavour to ensure that all personal data is processed in compliance with this policy and Data Protection Law. Why do we need to process your data?

In order for us to carry out our ordinary duties to our staff and clients, we may process a wide range of personal data about individuals as part of our daily operation.  Some of this activity is carried out in order to fulfil its legal rights, duties and obligation including those under a contract with its staff and clients.  Other uses of personal data will be made in accordance with our legitimate interests, or the legitimate interest of another, provided that these are not outweighed by the impact on individuals, and provide it does not involve special or sensitive types of data.

St David’s Poultry Team Ltd expects that the following uses will fall within that category of its legitimate interest:

  • To provide onsite veterinary services to clients and supply of necessary medication.
  • To provide you with necessary disease updates that may affect you
  • To analyse laboratory results
  • To offer you other services we believe may benefit you unless you ask us not to.

 Information we hold and process  

This will include by way of example:

  • Your name, address and contact number for your business and additional site addresses, this may include contact details of employees if you would like to be recorded on your account
  • Email addresses for sending veterinary documentation relevant to you, including laboratory results and account invoicing and statements
  • Images captured by our CCTV system from our company bases

How is the information collected?

The information we have collected about you, has come from different places including:

  • Directly from you upon signing up to St David’s Poultry Team as clients
  • From a third party acting on your behalf, such as a farm owner providing your details for direct contact with you with regards to your site
  • Through our subscription form found on our website

We’ll only collect your information in line with relevant regulations and law and this may relate to any of our products or services you request, currently hold or have held in the past.

You’re responsible for making sure you give us accurate and up to date information. If you provide information for another person on your account, you’ll need to tell them how to find the Privacy Notice and make sure they agree to us using their information for the purposes set out in it.

Who will it be shared with

We may share you information with other companies we work in partnership with to enable us to provide a veterinary service to you as required. This would be for example, laboratories, feed mills, RCVS, couriers and suppliers of medication and vaccine who may dispatch directly to you at your request.  We may also have to disclose or share your personal data in order to comply with any legal obligation, or to protect our rights, or safety of our employees, our customer or others. 

We will never sell your data to third parties for the purpose of marketing.

Data Accuracy and Security

St David’s Poultry Team will endeavour to ensure that all personal data held in relation to an individual is as up to date and accurate.  Individuals must please notify us of any significant changes to important information such as contact details held about them.

An individual has the right to request that any out of date, irrelevant or inaccurate information about them is erased or corrected (subject to certain exemptions and limitations) under the GDPR Law.  

St David’s Poultry Team will take appropriate technical and organisation steps to ensure the security of personal data about individuals, including policies around the use of technology and devices, and the access to our systems.  All staff are made aware of this policy and their duties under the GDPR Law and will receive relevant training.

Retention of Data

We will continue to retain personal data securely and only in line with how long it is necessary to keep for a legitimate and lawful reason.  Historically, clinical records are advised to be retained for seven years, with records of the supply and administrator of POM-V and POM-VPS medicines be kept for five years. 

A limited and reasonable amount of information will be kept for archiving purposes, for example and even where you have requested we no longer keep in touch with you, we need to keep a record of the fact in order to fulfil your wishes (called a ‘suppression record’).

Your Rights

Individuals have various rights under the GDPR Law to access and understand personal data about them held by us and in some case ask for it to be erased or amended or have it transferred to others or for us to stop processing this data but subject to certain exemptions and limitations

Any individual wishing to access or amend their personal data, or wishing it to be transferred to another person or organisation, or who has some other objection to how their personal data is used, should put their request in writing Kayleigh Walters, St David’s Poultry Team Ltd, Nutwell Estate, Lympstone, Exmouth, EX8 5AN.

We will endeavour to respond to any such requests as soon as is reasonable practicable and in any event with the statutory time-limits of 1 month.

You should be aware that the right of access is limited to your own personal data and certain data is exempt from the right of access.   This will include information which identifies other individuals, or information which is subject to legal privilege (for example legal advice given to or sought by us, or documents prepared in connection with legal action).

You may have heard of your ‘right to be forgotten’, however we will sometimes have compelling reasons to refuse specific requests to amend, delete or stop processing your personal data for example, a legal requirement, or where is may fall within a legitimate interest identified in this Privacy Notice.  All such requests will be considered on their own merits.

This Policy

St David’s Poultry Team will update this Privacy Notice from time to time.  Any substantial changes that affect your rights will be provided to you.

IP addresses and server logs

This site records IP addresses and produces server logs. This information is used solely for monitoring the volume of traffic the site receives and measuring the number of visitors. We do not use the information for tracking the activities of individual visitors to this site.

Recruitment Privacy Notice

What will we do with your information?
All the information you process during our recruitment process will only be used for the purpose of progressing your application, or to fulfil legal and regulatory requirements if necessary.
We will not share your information with any third parties for marketing purposes. The information you provide will be held securely by us whether this information is in electronic or physical format.
We will use your contact details provided to contact you to progress your application. We will also use the other information provided to access your stability for the role you have applied for.

What information do we ask for?
We do not collect more information than we need to fulfil our stated purpose and will not retain this information for longer than is necessary.
The information we ask for is to access you suitability for employment. You do not have to provide what we ask for but it might affect your application if you don’t.

Application Stage
We ask that you provide us with your personal details, including name and contact details. We will also ask you about your previous experience, education, referees and for any necessary answers to questions relevant to the role for which you have applied for. Our Human Resources team will have access to this information.

You will also be asked to provide equal opportunities information. This is not mandatory information and will not affect your application if not provided. Any information you do provide, will only be used to produce and monitor equal opportunities statistics and will not be shared with anyone outside of Human Resources.

Elite Staffing Solutions
We may for some roles instruct Elite Staffing Solutions to advertise this role. They will collect the application information and assess candidates on our behalf. Information collected by Elite for unsuccessful candidates will be retained for 12 months following the end of our agreement, for successful candidate placements, information obtained with be retained for 3 years, as required in accordance with REC requirements. Indeed

Candidates short-listed for interview
Our hiring managers will shortlist applications for interview. They will not be provided with you name, contact details or equal opportunities information if you have provided it.

Interviews and Assessments
Shortlisted candidates will be requested to attend an interview and possibly an assessment day. If you are unsuccessful following assessment and interview, we may ask if you would like your details to remain in our talent pool for a period of 6 months. If agreed, we would proactively contact you should a suitable vacancy arise. This request can be removed at any time by contacting hr@stdavids-vets.co.uk

Conditional Offers
If we make a conditional offer of employment, we will ask you for information to help us carry out the necessary pre-employment checks to enable us to progress to a final offer. We are required to confirm the identity of our staff and their right to work in the United Kingdom.
You will therefore be required to provide us with the following:
– Proof of identity – these must be original documents, where we will take copies as required
– Proof of qualifications – these must be original documents, where we will take copies as required
– Criminal record declaration – where necessary (not applicable for all roles) you will be asked to complete a criminal record declaration to declare any unspent convictions, cautions, reprimands and final warnings
– References- we will contact your referees, using the details provided in your application directly to obtain references
-We may also ask you to complete a questionnaire about your health. This is to establish your fitness to work.

Final Offer
If we make a final offer, we will ask you for the following further information upon your start with us:
– Bank details to process salary payments
– Emergency contact information – so we know who to contact in case of an emergency at work

How long is information held for?
If you are successful, the information you provide during the application process will be retained by us as part of your employee file for the duration of your employment plus 6 years following the end of your employment. This includes criminal records declarations, fitness to work and references.
If you are unsuccessful at any stage of the process, the information you have provides until this point will be retained for 6 months from the closure of the campaign, this will include information which may have been generated from the process such as interview notes.
